We’ll always do our best to meet your needs and expectations. However, it’s important to have things written down so both parties understand what’s agreed, who should do what, and what happens if something goes wrong. Before any work begins, you will be offered a free 15-minute consultation to share information and ask questions to ensure suitability. You will also be asked to complete a referral form and sign a consent form. Our Terms of Service explain what services will be provided, how and when payment should be made, and what happens if either party needs to cancel sessions.
- You confirm that you have the authority to enter into any agreements with us on behalf of yourself, your child, and/or your organisation.
- You will provide accurate information we need to deliver the most appropriate service.
- You will complete a referral form prior to any initial assessment.
- You will provide enough information to enable us to assess suitability and to inform the assessment.
- You remain responsible for your child’s safety at all times, including when moving inside and outside the clinic space. Whilst we ensure a safe and professional environment, supervision and responsibility for safety rests with the parent/carer.
We will provide you with clear expectations of what can be achieved with our input. Following an initial discussion, we will provide costings for any services we recommend. We work in line with HCPC standards of conduct, performance, and ethics. You can expect us to:
- Keep records of our work
- Be open and transparent if things go wrong
- Manage risks appropriately
- Delegate responsibly when necessary
- Communicate appropriately and effectively
- Be honest and trustworthy
- Report concerns about safety
- Respect confidentiality
- Work within the limits of our professional knowledge and skills
- Promote and protect the interests of service users, parents, and carers
We cannot work without your informed consent.
We respect the confidentiality of all information shared with us. We will only share information without consent if required by law or safeguarding concerns.
- For individual clients, payment is required at the time of booking. Payment is usually via BACS/Bank Transfer.
- For organisations, we require a purchase order or email confirmation before work begins. Invoices are issued at the end of the month.
- We reserve the right to charge 8% interest plus the Bank of England base rate on overdue invoices.
Invoices are issued via email. Payment terms are upon receipt.
- If you cancel less than 24 hours before a session, 100% of the fee will still be payable.
- If we cancel a session, you will receive a full refund of any payment already made.
Purpose of Assessment and Reports
Assessment sessions are used to gather observations and information. The outcome of the assessment is the written report, which contains professional formulations and recommendations.
Ownership & Copyright
Reports, therapy plans, and resources remain the intellectual property of The Speech Studio. They are provided for the benefit of the child and family and must not be copied, altered, or shared with third parties without permission.
Release of Reports
In the case of any outstanding payment, reports and strategy sheets will be shared in draft form with a watermark until full payment has been received. Final, unwatermarked copies will be released once the outstanding balance is cleared.
Timescales
Reports are usually completed within 3 weeks of the session, unless otherwise agreed.
Use of Reports
Reports are intended to inform families, schools, and other professionals directly involved in the child’s care. They should not be used for purposes outside of this scope without discussion with the therapist.
No Refunds Once Written
Once a report has been written, the time and professional expertise involved are chargeable, regardless of whether the client later chooses to use the report.
- With your consent, we may share relevant information with schools, GPs, therapists, and other professionals to support a joined-up approach.
- We follow strict confidentiality and information governance principles.
- Pricing is based on time and complexity of the work involved (hourly/daily rate).
- Travel charges may apply and will be quoted individually.
- Service Level Agreements with schools or organisations will be priced separately.
-We are happy to discuss how we can match or improve on any comparable service you are currently receiving.
-We aim to provide a positive service. If you are unhappy, please raise concerns in person, by phone, or in writing.
- If not resolved immediately, we ask you to raise the complaint in writing within 7 days.
- All written complaints will be reviewed and responded to by the Director.
For schools, nurseries, and organisations, we offer bespoke SLAs. These will have separate agreed terms and pricing.
All services are carried out in accordance with the HCPC Standards of Proficiency and the RCSLT Code of Ethics.
Our services are covered by RCSLT insurance policies.
